Before we try to create a booking in Octopus, we will always check if the customer/supplier already exists in Octopus. Octopus knows only 'Relations', where a relation can be both customer and supplier at the same time. Therefore the way of looking up is identical, whether for a customer or a supplier.

We use all the options Octopus provides us to search customers. This is more limited than through the user interface of Octopus itself.
Searching relationships
Below are the steps to search for a Relationship in Octopus. Only if no existing relationship is found in Octopus will we create a new relationship.

1. | On VAT number |
| Only if a VAT number is entered. We do not consider the validity of the VAT number. |
2. | Thereafter in the customer's name |
| This is case-insensitive, but must fully match between IAMD and Octopus. |
3. | Then on the customer number/supplier number from IAMD. |
| For example: K0123. We search for this in the "External Relationship No. (Other Package)" field. This is case insensitive. |
4. | Then on the customer number with just the numbers. |
| For example: 0123. We search for this also in the "External Relationship No. (Other Package)" field. |
5. | Followed by the customer number without any leading zeros. |
| For example, 123. For this we also search in the field "External Relationship No. (Other Package)" |
Please note
If no Supplier is found, but a customer is found instead, we automatically check the 'Supplier' checkbox at the Relationship that was found.
This works the same when looking for a Customer, but finding a Supplier with the same information. We automatically check the 'Customer' checkbox at the Relationship that was found.
