Standardly, a work order does not do any inventory transactions. So the material used on the work order does not automatically go out of stock.

This is intentional, because most companies choose to use the warehouse view to book off inventory, because the warehouse worker prepares the material even before it leaves for the job site.

It is possible, however, to be able to perform inventory transactions via work orders as well. This help desk article explains the possibilities of this.

Activating stock transactions on Work Orders

Standardly, work orders do not trigger stock changes. To activate this, follow these steps:

Step 1 : Make field 'Use stock' visible:

  • Go to 'Fields and Sections' in the settings. Choose 'Work Order' as the entity.

  • Make the 'Write off stock' checkbox visible on the work order. You can also set a default value here, so that on new work orders (if desired) this will automatically be set to 'yes', for example.

Step 2 : Enable 'Stock Write Off':

  • As soon as this checkbox is visible, you can check it on the work order to write off the stock.

  • Under the green action button you will now find the option 'Book off stock'.

Step 3 : Run Stock Write Off:

  • Selecting this option will write off the material that is on the work order and has not yet been written off from stock.

  • A pop-up appears where you can adjust the quantities as needed.

Setting-from-standard-stock-location

  • Stock Location Field:

  • You can also make the Stock Location field visible on the work order.

  • This allows you to set a default warehouse from which stock should be taken, if it differs from the location on which the work order was created.

  • Without a specific choice, the stock of the branch on which the work order was created is taken.

Changes-after-book-off

  • If you make any changes after the write-off (such as changing quantities or adding additional products), you can use the 'Action' => 'Write off stock' option again.

  • This then shows only the new or changed items in the pop-up, taking into account what has already been written off.

Undo stock-changes

  • From the green action button, you can also choose "Undo stock write-offs" to cancel previous stock changes.
    ​
